Price Change - Copy Lines
For every price change, you need to create a new price list. This approach allows you to preserve the history of all previous prices and price lists, ensuring complete audit trail and price history.
Price List Validity
Each price list has its own active period. When activating a new price list, in addition to filling out the General tab, you can use the Copy Lines action to populate the lines efficiently.
Important Note on Validity Dates
The validity dates of price lists at the same location must not overlap.
Example:
- End date of previous price list: 31.05.2024
- Start date of new price list: 01.06.2024
Creating a New Price List
Initial Status
While creating a new price list, its status is always set to Draft.
Copy Lines Function
Accessing Copy Lines
The Copy Lines function opens a new window where you select the source price list.
Process
- Select the price list from which lines will be copied
- Items and prices are transferred to the lines of the new price list
- This expedites the process of entering new prices
Benefits
- Time Saving: Quickly populate a new price list with existing items
- Price Adjustment: Since prices are also copied, you can modify them as needed
- Data Consistency: Ensures all items from the previous list are included
Modifying Prices
After copying the lines:
- Review the copied prices
- Update prices as needed for the new period
- Ensure all changes are complete before activation
Activating the Price List
Status Change
After copying and modifying prices, change the status of the price list to Active.
Required Action
Every activation of a price list requires a Price Inventory Adjustment.
Price Change Notifications
Active Price List Modifications
If you change a price in an active price list, you will receive a notification at the top of the price list indicating that changes have been made.
Best Practice
Instead of modifying active price lists:
- Create a new price list
- Copy lines from the active list
- Make your changes
- Activate the new price list
This approach maintains better price history and audit trail.
Workflow Summary
- Create new price list (Draft status)
- Copy Lines from previous price list
- Modify prices as needed
- Activate the price list
- Post Price Inventory Adjustment
This workflow ensures proper tracking of price changes and maintains historical data for reporting and analysis.
